A tent that is too small crowds your guests, and one that is too large leaves the room feeling empty and costs more to cool or heat. Event tent rental starts with a simple question: how much floor space does your event really need? This guide gives planning estimates, explains the extra space most people forget and lists what to confirm before you book.

Start with the guest count and the layout
Tent size depends on how guests use the space. The same 100 guests need very different floor areas for a seated dinner, a standing reception and a seated event with a stage. As a planning estimate, a seated dinner with round tables needs roughly 1.5 to 2 square meters per guest, a standing reception needs about 1 square meter per guest, and a theater style seating needs around 0.8 to 1 square meter per guest. Treat these as starting points, then confirm the final size with our team.
Add space for what is not a guest
People often count seats and forget the rest. Before you choose the size, add space for:
A buffet or catering line and the walkway beside it.
A stage, DJ or sound system.
A dance floor.
The entrance and clear walkways between tables.
Cooling or heating equipment and its clearance.
A white tent with red trim.
Event tent rental styles for the occasion
Our tent rental includes event tents for weddings, engagements and outdoor functions, and Bedouin-style tents for Arabic seating and family gatherings. We offer various sizes and confirm the available ones when you request a quote, based on your guest count and the venue. Delivery, installation, securing and removal are handled by our team.
Plan cooling and heating inside the tent
A tent changes the temperature of the space. In summer, a closed tent can feel hotter than the open garden, so plan fans, coolers or air conditioners. In winter, plan heaters at the edges. Read our guide to air-conditioned and heated tents to match the equipment to the tent type.
Check the ground and the weather
Ask about the ground before the day: grass, tiles, sand or a rooftop all change how a tent is secured. Wind is the main risk for any tent, so plan securing and a backup if the forecast is poor. The National Weather Service wind safety guidance explains why high winds are dangerous around temporary structures.

Checklist before you book
Confirmed guest count and the seating style.
Extra areas: buffet, stage, dance floor, entrance.
Before you book event tent rental, check that the venue allows a tent and ask where it can be placed. Gardens, rooftops and open land all have different rules and different ground. Tell us the date and the hour the event starts, and we plan installation early enough to finish before the first guest arrives.
Furnishing the tent
A tent is only the shell. Plan the chairs, tables, lighting and cooling together so the space works as one layout. Keep walkways clear from the entrance to the buffet and the seating, and leave space for the team to reach the equipment during the event.
